POSITION OVERVIEW
 
We are recruiting a Make Safe Coordinator for an established insurance building and repairs business in Queensland.
 
The Make Safe Coordinator is responsible for arranging urgent temporary works following events such as storms, floods, fires, impact damage, water ingress and other insured incidents.
 
You will receive new instructions, assess the urgency of each situation and coordinate appropriately qualified trades to attend the property. You will maintain regular communication with customers, insurers, trades and internal teams while ensuring all work is completed safely and within required service levels.
 
This is a fast-paced, heavily phone-based position that requires strong judgement, clear communication and the ability to remain calm when dealing with urgent or sensitive situations.
 
KEY RESPONSIBILITIES
 
– Receive, review and action new make-safe instructions
– Assess claim information and determine the urgency and required response
– Contact insured customers to confirm the incident, property condition and access arrangements
– Coordinate appropriately qualified trades and contractors to attend affected properties
– Arrange emergency works including temporary roof protection, water extraction, electrical isolation, temporary fencing, board-ups and other risk-reduction measures
– Ensure make-safe activities are allocated and attended within required insurer timeframes
– Monitor outstanding jobs and follow up trades until attendance and completion are confirmed
– Maintain regular communication with customers, insurers and internal stakeholders
– Obtain and review trade reports, photographs, invoices and completion documentation
– Ensure claim files and system notes are accurate and current
– Escalate safety concerns, vulnerable customers, delays and complex incidents
– Coordinate after-hours or major-event workloads when required
– Manage multiple urgent jobs during storm, flood and catastrophe events
– Verify that contractors hold the necessary licences, insurance and safety documentation
– Assist with cost approvals, purchase orders and invoice processing
– Support the handover of claims from make-safe works into assessment and permanent repairs
– Work closely with claims administrators, estimators, supervisors and project managers
– Maintain compliance with insurer requirements, internal procedures and WHS obligations
 
SKILLS AND EXPERIENCE
 
– Previous make-safe coordination, insurance claims, emergency response, construction administration or trade coordination experience
– Strong understanding of urgency, property risk and customer safety
– Excellent phone manner and stakeholder communication skills
– Able to remain calm and make sound decisions under pressure
– Strong organisational and multitasking ability
– Comfortable coordinating multiple trades and urgent jobs simultaneously
– Able to work across several systems and screens
– Strong attention to detail and accurate record keeping
– Able to meet strict service levels and response deadlines
– Confident managing escalations and difficult customer conversations
– Previous experience within insurance building, restoration, facilities management or emergency services would be highly regarded
– Knowledge of construction terminology and common make-safe activities would be beneficial
